First published 9 May 2026 · Last updated 31 May 2026 (added outreach-data section covering cold enquiries to golf-society public contact addresses)
ParClub is published by Greg Morris, trading as ParClub ("we", "us", "ParClub"). This policy explains what personal information ParClub collects, why, who we share it with, and how you control it. Plain-English summary first, full terms underneath.
Plain-English summary
- We need your email address so you can sign in.
- You provide a display name and golf handicap; we show these to other members of any society you join.
- Optionally you upload an avatar photo, visible to other society members.
- We collect scores you record during rounds and store them so the app can rank players, compute society handicaps, and produce an Order of Merit table for your society.
- We use Supabase (a hosted Postgres database) and Apple Push Notification Service / Google Firebase Cloud Messaging for push notifications.
- We do not sell your data.
- You can delete your account at any time from the app.
If you received an enquiry email from us
You may have arrived on this page because we wrote to your golf society's public contact address (an info@, secretary@, captain@, society@ mailbox listed publicly on your society's own website, your county union's website, or a directory like TheSocialGolfer or Golf-Society). This section is for you.
What we collected and why
- Your society's name and the public role-based contact address it lists, copied from a source page we can show you on request.
- A note of the date we sent the enquiry and which message variant we sent.
- If you reply, the content of your reply so we can respond.
We did not collect any personal data about any named individual. We did not scrape personal mailboxes, member lists, LinkedIn profiles, or directory entries that require a paid account.
Why we sent the email
ParClub is a tool built specifically for golf-society captains. Our lawful basis for the enquiry is legitimate interest under UK GDPR Article 6(1)(f): introducing a relevant tool to the public role-holder of an organisation whose stated purpose includes running golf events, by way of a one-off, low-volume enquiry sent to the address that organisation has published for the purpose of receiving enquiries about its activities. We have completed a Legitimate Interests Assessment which is available on request.
How long we keep the contact
Twenty-four months from first contact, or until you ask us to remove it (whichever is sooner). After that, the address is deleted from our outreach records. If you reply to the enquiry and we begin a conversation, we keep the conversation thread for as long as the conversation is active and for six months after the last reply.
How to opt out
Two equally fast options, choose either:
- Reply STOP to the email you received.
- Email the address that sent you the original enquiry and ask to be removed.
We will remove your society within 48 hours and confirm by reply. Once removed, your address goes onto a permanent suppression list so it cannot be re-added even if it appears in a future scrape of the same directory.
Sub-processors used for outreach
- Google (Mountain View, CA, USA), email hosting under standard contractual clauses for international transfers.
- Mailmeteor (Paris, France), the personalised one-to-one mail-merge tool, never used for bulk broadcast.
Your full rights
Under UK GDPR you have the right to access, rectify, erase, restrict or object to our processing of your data; to lodge a complaint with the Information Commissioner's Office at ico.org.uk; and to be informed about how your data is used (this page). Exercise any of these by emailing support@parclub.app.
What we collect
| Category | Source | Why |
|---|---|---|
| Email address | Sign-up | Authentication, magic-link sign-in, important account notices |
| Date of birth | Sign-up | One-time age check to confirm you are 18 or over; not shown to other members |
| Display name + handicap | Sign-up / profile | Shown to society members on leaderboards, scorecards, group lists |
| Avatar image (optional) | Profile editor | Shown next to your name in the app |
| Society membership | Society invite codes | Determines what events / scorecards / leaderboards you can see |
| Round scores | Scorecard entry | Society Order of Merit, handicap calculation, personal stats |
| Device push token | Sign-in | Sending push notifications about events / pairings / chat messages you've opted into |
| Crash logs and basic device info | App runtime | Debugging crashes and improving stability |
We do not collect: your phone contacts, your photo library, or any health / fitness sensor data. We do read your GPS position during a live round to show yardages to the green: those readings stay on the device and are never stored on our servers. We do store the lat/lng of the golf course you select for an event.
Where it's stored
- Account, profile, society and scoring data: Supabase (Postgres hosted on AWS, EU region).
- Push tokens: same Supabase database; messages routed via Expo Push, then on to Apple Push Notification Service / Google Firebase Cloud Messaging.
- Crash logs + diagnostic events: Sentry (EU region) and Apple App Store Connect / Google Play Console. Crash payloads are scrubbed of emails and authentication tokens before they leave your device.
- Subscription receipts + entitlement state: RevenueCat (US). The only identifier we send is your society's internal ID, never your email or name.
Sharing
We do not sell, rent, or share your personal data with advertisers. We do share data with:
- Other members of the same group: they see your name, handicap, scores, and round results.
- Sub-processors: Supabase (hosting + Postgres), Sentry (crash reporting, EU), RevenueCat (subscription management, US), Expo (push notification relay), Apple/Google (push delivery + app stores).
- Authorities: only when legally compelled (court order, lawful request).
Your rights (GDPR & UK GDPR)
You have the right to:
- See what data we hold on you (email support@parclub.app and ask)
- Correct anything that's wrong
- Delete your account and all associated data ("right to be forgotten")
- Export your data in a machine-readable format
- Object to specific processing
To exercise any of these, email support@parclub.app.
Age
ParClub is for adults aged 18 or over. We ask for your date of birth at sign-up to enforce this and do not knowingly collect data from anyone under 18. If you believe an under-18 has signed up, email us and we'll delete the account.
Changes
We'll update this policy from time to time. The "Last updated" date at the top reflects the latest version. Material changes will be announced in-app.
